Terms & Conditions
In these terms and conditions of hire, the following meanings shall apply:
“We, us, our” refers to Coastal Celebrations LTD
“you, your” refers to the named person on the booking.
“your hire” means all arrangements and items sourced and organised for you by us.
The “Hire Period” is determined from the point a is deposit paid to the point of collection of products.
We reserve the right to amend these terms and conditions at any time and you should therefore check them each time you hire items from us.
These terms and conditions apply to your hire from the time a deposit is paid to the point where the hire is completed.

1. Property Ownership
1.1 All equipment and hire items are the property of Coastal Celebrations LTD and remain so at all times throughout your hire.
1.2 By accepting these terms and conditions, you agree that you are solely responsible for the hire items at all times throughout your hire, from the set up or collection of the items until we collect the items or they are returned by you.
2. Payment Terms
2.1 A non-refundable deposit of 30% is due upon booking. Your items are not reserved for you until the deposit has been accepted by us. You will receive confirmation of booking and receipt of your deposit payment.
2.2 The remaining 70% balance is due 1 week before the date of hire unless alternate payment options have been agreed in writing upon booking.
2.3 We can accept Cash for the final payment upon delivery of the hired products. If cash is not presented upon delivery the products are not left at the venue/premises. We do not include discounts for cash payments being made.
3. Standard Hire Period
3.1 Unless specifically arranged at the time of booking, all standard hires are based on a total of 24 hours.
4. Failure to Pay for or Return Items
4.1 If we are unable to collect any of our items at the agreed time a £25 fee will be charged to rearrange a new collection time for that day along with any additional travel expenses incurred. If we have arranged for you to return the hire items to us and the agreed time has not been met, then you will be charged an overdue fee of £25 per day. If items fail to be returned after an extended period of time (deemed so at our discretion), you will be liable for the full replacement value and we will exercise our right to pursue you legally for this cost.
4.2 If an agreement has been made to accept late payment, but a final payment deadline has passed, or if failure to pay a damage invoice has taken place, we will pass the debt on to a third party debt collection agency.
5. Hire Item Condition
5.1 As much as we try to eliminate marks and stains by consistent maintenance, there may be slight scratches and marks, none of these items are new so will have some wear and tear. All items are inspected prior to being hired out and therefore we eliminate this as much as possible.
5.2 If an item you have booked is damaged or lost prior to your hire taking place you will be informed, and every effort will be made to replace the item like for like. If this is not possible or if this is unsatisfactory, you will be entitled to a refund for that item only. No further compensation will be due.
6. Loss or Damage of Hire Items
6.1 You assume complete responsibility for loss of, or damage to the items you have hired (other than fair wear and tear) from the time the equipment is delivered to the venue/premises, and until it is collected. The charge will be for the cost of replacing the equipment with new stock. For a full list of the prices please contact us. We strongly recommend you taking out wedding/event insurance for such an instance.
6.2 Where our hire items are returned badly stained or marked or may require additional work to get the product back to a re-hireable standard, there may be an additional maintenance time added to your account.
6.3 Unless agreed by us in advance, all products are for indoor use only; if you wish to use the item outside, this must be agreed in writing by us prior to the hire period.
7. Colours of Items
All efforts have been made to represent our items accurately in my photographs, however sometimes there may be slight discrepancies with colour due to different monitors showing different saturation and photographs being taken in different lighting and we cannot be held accountable for this. Every care is taken to provide the items as you expect them.
8. Delivery, Set Up & Collection
8.1 Delivery and collection hours are between 09:00 and 17:00 (unless otherwise agreed). We typically deliver and set up on the day of your event and collect the day after your event. Arrangements can be made to deliver the day before.
8.2 On the day of set up it is your responsibility to ensure the area for the products is ready to be set-up. We will reach out to your venue prior, however we trust you will have informed your venue that we will be supplying products for your wedding/event.
8.3 Hire items must be available for collection at the time agreed from the delivery address, unless otherwise agreed. Items must be left overnight in a secure room and all items are collected in the same room/area up on collection.
8.4 On collection of the items, we will not accept any goods other than those hired by you and specified on your booking details. We will notify you of any goods collected in error, which do not belong to us. Should they not be collected, or a return arranged within 14 days, We reserve the right to dispose of them. Should you wish to have these items returned to you then it will be at your expense. It is your responsibility to organise and collate the items for collection or return.
8.5 We are authorised to contact the venue on your behalf to arrange delivery, set up and collection times unless stated otherwise by you.
9. Travel Fees
9.1 For services provided within a 5 mile radius of CO13 Kirby Cross travel fees are included in the hire cost.
9.2 For events outside this area, there is an additional travel fee of 40p per mile for the delivery to set up and the return to collect journey.
10. Cancellation Fees
10.1 Should you have to cancel your booking the following charges will apply:
Within 3 weeks of the event – 50% of total cost
Within 1 weeks of the event – 100% of the total cost
10.2 Your 30% deposit is non-refundable
11. Payment & Quotes
11.1 Payment of your deposit is deemed an instruction of your booking. Items may be added, subject to availability and our own discretion. Items can also be swapped if available, up until 6 weeks before your event start date, but the value must not go below the agreed total hire value. If you wish to remove items but do not wish to take other items in exchange, no refunds or part refunds will be applicable. You will be billed for any additional hire value.
11.2 Our quotes are valid for 7 days. Price changes will not affect quotations within the 7-day period. However, after 7 days, if the deposit payment has not been made, prices will be amended if required by us due to material and produce costs increasing.
11.3 Any additional payments incurred during or after the time of booking for issues such as delivery rearrangements and lost and damaged items will be requested through an invoice to be paid within 7 working days. Failure to do so will result in me seeking legal action to recover the outstanding payment.
11.4 No additional decor can be added to the hire products without seeking permission from Coastal Celebrations LTD prior.
12. Equipment Safety
12.1 Electrical items are PAT tested and all items are checked before and after hire and undergo regular maintenance. We do everything we can to ensure the safety and safe handling of the items.
12.2 We are not responsible for any injury or damage to animals, property, persons, or objects arising from the use of any equipment under hire. We shall not be liable for any direct, indirect, or consequential loss, damage or additional costs that may arise as a result of the use of our hire items.
12.3 We are not responsible for accidents or injuries related to our products through mishandling by the Client, guests or site staff.
13. Extreme Circumstances / Force Majeure / Cancellation by Us
13.1 In the event of extreme weather or road conditions which result in us being unable to safely deliver or collect the hired goods, we reserve the right to alter the arrangements for delivery or collection and shall not be liable for any losses or costs to you that may arise as a result.
13.2 We reserve the right to cancel in extreme circumstances that make your hire unviable for us, up to and including the day of your hire. We are the ruling party on deciding if the hire is unviable and we will not be liable for any compensation or additional costs you may incur as a result of our cancellation, however a full refund will be issued.
14. Hire Refusal
We have the ultimate right to refuse any booking. Any agreement to hire is at the discretion of the Directors.
15. Copyright
All images, photography and wording on our website, Facebook page and other social media are copyrighted to us unless expressly confirmed otherwise. Our company name and logo may not be used by anyone other than us. Images may not be copied, printed or otherwise disseminated.
16. Liability
If the full balance is not paid by the date of the booking, we hold no responsibility to provide the hire items and hold no liability in this circumstance.
17. Disclosure
Any typographical, clerical or other error or omission in any sales literature, quotation, price list, acceptance of offer, invoice or other document or information issued by us shall be subject to correction without any liability on the part of us.
18. Data Protection
18.1 We will securely retain your information for up to 2 years for reference and analytical purposes as well as tax purposes.
18.2 Under the General Data Protection Act 2018 (GDPR) you have the right as an individual to request what information we hold about you. We do not hold any data unnecessarily. If you wish to have any data removed please submit an email request to info@coastalcelebrations.co.uk
18.3 You have the right to complain to the ICO if you think there is a problem with the way we are handling your data.
18.4 We keep up to date with any changes made in the General Data Protection Act 2018 or likewise.
19. Complaints
19.1 If there is ever an issue that arises during your hire period with us, you have 7 days from the period ending to raise a complaint to info@coastalcelebrations.co.uk
19.2 We only accept complaints submitted to info@coastalcelebrations.co.uk. Any complaint submitted outside of this we have no obligation to respond to.
19.3 We have 7 days to respond to the initial complaint then 21 days to investigate if required and report back to the client.
19.4 We are under no obligation to provide any refunds for complaints, and a suitable agreement in terms of compensation will be made if necessary.
